Who Is This Guide For?

This guide is for you if every morning starts with someone asking: “Printer ta print diche na, just dekha তো!” 😅 Whether you’re an IT support engineer, helpdesk guy, or the “tech person” in your office, you’ll face printer issues almost every single day.

I wrote this in a very friendly, real-world way — not just theory. These are the exact problems you and I see in offices: printer offline, paper jam, faded prints, Wi-Fi not printing, queue stuck… and how to fix them step by step.

Quick Warm-up: What Kind of Printer Are We Talking About?

In most offices you’ll see mainly two types of printers:

In this guide, I’ll mostly talk from the laser printer point of view, but many tips apply to inkjets too.

Imagine it’s 9:05 AM, your boss is standing next to the printer with a file in hand, and that printer suddenly decides to act smart. এই গাইডটা basically ওই মুহূর্ত বাঁচানোর জন্য 😄

1️⃣ Printer Shows “Offline” but Everything Looks Fine

This is one of the most common and annoying issues. User says: “PC te dekha diche printer offline, kintu printer তো on!”

Possible Reasons

Step-by-Step Fix (as IT support)

  1. Physical check: Is the printer actually ON? Any error on the printer display (paper jam, out of toner, door open)?
  2. Cable & network: If it’s a network printer:
    • Check LAN cable on printer & switch.
    • Check if network light is blinking.
    • Print a configuration page from the printer and note the IP address.
  3. Ping test: From user’s PC, open cmdping 192.168.x.x (printer IP). If ping fails, you have network/IP issue.
  4. Check Windows status: Go to Control Panel → Devices and Printers.
    • Make sure the correct printer is selected.
    • Right-click → “Set as default printer”.
    • Right-click → “See what’s printing” → “Printer” menu → make sure “Use Printer Offline” is unchecked.
  5. Restart Print Spooler: Press Win + R → type services.msc → Find Print Spooler → Right-click → Restart.
  6. Re-add the printer (if needed): Sometimes easiest is: remove the printer from Windows and add it again with the正确 IP / share path.

2️⃣ Paper Jam (Especially in the Morning Rush)

Paper jam usually happens when:

Safe Way to Clear Paper Jam

  1. Tell user: “Please don’t pull the paper randomly.” Aggressive pulling can damage drum or fuser.
  2. Follow the arrows / jam instructions on the printer cover.
  3. Open all relevant doors: front cover, rear door, tray, duplex unit.
  4. Gently pull the jammed paper in the direction of paper path.
  5. Check for small pieces of paper stuck inside — especially near roller & fuser area.
  6. Close all doors properly and test print.

Preventive Tips

3️⃣ Faded / Very Light Print

You’ll often hear: “Print astese, but halka dekha jay, clear na.”

Common Causes

How to Fix

  1. Check toner level from printer display or web interface.
  2. Ask user if it suddenly became light or slowly over time.
  3. Remove toner cartridge and gently shake left–right (for temporary improvement).
  4. In printing preferences → check if “Toner Save / Draft / Eco” mode is enabled, turn it off.
  5. If still same: replace toner or drum according to printer model.
Pro tip: Always keep at least one spare toner for busy printers. Running out of toner at 5:55 PM before a meeting is a classic office disaster 😄

4️⃣ Smudges, Lines, or Repeated Marks on Page

Pages coming out with:

These are usually related to:

Steps You Can Take

  1. Print a test page directly from the printer menu.
  2. Replace the toner cartridge and test again.
  3. If your model has a separate drum unit: try replacing or cleaning the drum (if allowed by vendor).
  4. Check printer maintenance menu: some printers have “Drum clean” or “Fuser clean” options.
  5. If lines remain exactly at same distance, note the distance → might indicate fuser/drum damage → log for vendor/service.

5️⃣ “Toner Low” or “Replace Cartridge”

As an IT support, people expect you to be the toner magician too 🧙‍♂️

What You Should Do

6️⃣ Print Jobs Stuck in Queue

Symptom: user clicks print, status window shows jobs but nothing is printing. Sometimes one old stuck job blocks all new ones.

Fix from User PC

  1. Open Devices and Printers.
  2. Right-click printer → “See what’s printing”.
  3. Cancel all documents → if any job is stuck in “Deleting…” state:
  4. Restart Print Spooler service (as mentioned earlier).

Advanced (Server-side Shared Printer)

7️⃣ Wi-Fi Printer Not Printing

Home / small office Wi-Fi printers are very moody 😄 Common issues:

Steps

  1. From printer panel, check Wi-Fi status & IP.
  2. Make sure user PC and printer are on same network.
  3. Ping the printer IP from user PC.
  4. If IP changed frequently, set a DHCP reservation in router/Firewall so printer always gets same IP.
  5. On PC, delete old printer & add new one using current IP or discovery.

8️⃣ Duplex (Double-Side) Print Not Working Correctly

Users complain: “Double side print দিলে ulta side e print hoye jay amar!”

Checklist

9️⃣ Access Denied / Can’t See Shared Printer

In domain environment:

As IT Support

  1. Check from print server: right-click printer → Properties → Security tab.
  2. Make sure relevant group/user has “Print” permission.
  3. From user PC, try mapping printer via path: \\PrintServerName\PrinterShareName
  4. If using Group Policy to deploy printers, run gpupdate /force and re-login.

🔟 When to Escalate to Vendor / Hardware Support

Not every printer issue is solvable by basic IT support. Escalate when:

In such cases, log a proper ticket:
