This guide is for you if every morning starts with someone asking: “Printer ta print diche na, just dekha তো!” 😅 Whether you’re an IT support engineer, helpdesk guy, or the “tech person” in your office, you’ll face printer issues almost every single day.
I wrote this in a very friendly, real-world way — not just theory. These are the exact problems you and I see in offices: printer offline, paper jam, faded prints, Wi-Fi not printing, queue stuck… and how to fix them step by step.
Quick Warm-up: What Kind of Printer Are We Talking About?
In most offices you’ll see mainly two types of printers:

Step-by-Step Fix (as IT support)
- Physical check: Is the printer actually ON? Any error on the printer display (paper jam, out of toner, door open)?
- Cable & network:
If it’s a network printer:
- Check LAN cable on printer & switch.
- Check if network light is blinking.
- Print a configuration page from the printer and note the IP address.
- Ping test:
From user’s PC, open
cmd→ping 192.168.x.x(printer IP). If ping fails, you have network/IP issue. - Check Windows status:
Go to Control Panel → Devices and Printers.
- Make sure the correct printer is selected.
- Right-click → “Set as default printer”.
- Right-click → “See what’s printing” → “Printer” menu → make sure “Use Printer Offline” is unchecked.

2️⃣ Paper Jam (Especially in the Morning Rush)

Safe Way to Clear Paper Jam
- Tell user: “Please don’t pull the paper randomly.” Aggressive pulling can damage drum or fuser.
- Follow the arrows / jam instructions on the printer cover.
- Open all relevant doors: front cover, rear door, tray, duplex unit.
- Gently pull the jammed paper in the direction of paper path.
- Check for small pieces of paper stuck inside — especially near roller & fuser area.
- Close all doors properly and test print.
Preventive Tips
- Use good quality paper (not super cheap thin paper).
- Don’t overload paper tray, follow tray limit mark.
- Adjust side guides properly to match paper size.
- Store paper in a dry place (humidity causes curl & jam).
3️⃣ Faded / Very Light Print

Common Causes
- Toner is low or almost empty.
- Eco / Draft mode enabled in print settings.
- Drum unit near end of life.
- For inkjet: print head clogged or ink low.
How to Fix
- Check toner level from printer display or web interface.

- Remove toner cartridge and gently shake left–right (for temporary improvement).
- In printing preferences → check if “Toner Save / Draft / Eco” mode is enabled, turn it off.
- If still same: replace toner or drum according to printer model.
4️⃣ Smudges, Lines, or Repeated Marks on Page

These are usually related to:
- Dirty drum or damaged drum surface.
- Fuser unit having toner stuck on it.
- Low quality or leaking toner cartridge.

- Print a test page directly from the printer menu.
- Replace the toner cartridge and test again.
- If your model has a separate drum unit: try replacing or cleaning the drum (if allowed by vendor).
- Check printer maintenance menu: some printers have “Drum clean” or “Fuser clean” options.
- If lines remain exactly at same distance, note the distance → might indicate fuser/drum damage → log for vendor/service.
5️⃣ “Toner Low” or “Replace Cartridge”

Fix from User PC
- Open Devices and Printers.
- Right-click printer → “See what’s printing”.
- Cancel all documents → if any job is stuck in “Deleting…” state:

Advanced (Server-side Shared Printer)
- Log in to the print server.

7️⃣ Wi-Fi Printer Not Printing

- From printer panel, check Wi-Fi status & IP.

- If IP changed frequently, set a DHCP reservation in router/Firewall so printer always gets same IP.
- On PC, delete old printer & add new one using current IP or discovery.
8️⃣ Duplex (Double-Side) Print Not Working Correctly

Checklist
- In printer driver → Printing preferences → Make sure “Print on both sides” (or Duplex) is enabled.
- Check “Flip on long edge” vs “Flip on short edge” — wrong choice causes upside-down back side.

9️⃣ Access Denied / Can’t See Shared Printer
In domain environment:
- User doesn’t have permission on that shared printer.
- Printer shared from server, but user not in right security group.
- GPO / script didn’t map the printer properly.

- Check from print server: right-click printer → Properties → Security tab.
- Make sure relevant group/user has “Print” permission.
